Search Santa Clara County Court Records by Case, Name, Court Type and Filing Location
Santa Clara County Superior Court provides online case information for civil, small claims, probate, some family, traffic, local ordinance and criminal matters, but the amount of information available remotely depends on the case type. Filed documents are not generally available online, so the courthouse or Clerk’s Office remains important when you need the actual pleading, order, judgment or certified copy.
Use the Official Santa Clara Court Route That Matches the Record
The Superior Court of California, County of Santa Clara is the trial court for most state civil, criminal, family, probate, small-claims and traffic cases filed in the county. The court now provides a central Case Information Online page that links public case information and explains when records must instead be viewed or copied at a courthouse.
Case Information Portal
Use the court’s public portal for available civil, small claims, probate, some family, traffic, local ordinance and criminal case information.
Open case informationCriminal case index
For criminal matters filed in 2004 or later, the court says the online criminal index can be used to locate a case number using the defendant’s name with additional identifying search information.

The traffic portal supports lookup by case number, driver’s-license information or citation number and requires date of birth for the search.

If the paperwork may belong to another California county, use the Judicial Branch’s Find My Court service rather than assuming Santa Clara County holds the case.

PACER court-record guideHow to Search Santa Clara County Court Records in 7 Steps
Search Santa Clara County Court Records by Name
The public Case Information Portal supports party searches using a first and last name and also provides a business-name search. A filing-date search is available for supported public case information, while a case-number search is the better route once you know the exact file.
For a person’s name
- Start with the legal first and last name.
- Avoid adding uncertain middle names during the first search.
- Try a former surname only when there is a reason to expect it.
- Compare filing dates and party roles before selecting a result.
- Save the case number as soon as the correct file is identified.
For a business
- Use the portal’s business-name search.
- Try the legal entity name before an informal trade name.
- Check punctuation and common corporate suffix variations.
- Verify whether the business is plaintiff, defendant or another party.
- Use the resulting case number for later document work.

Santa Clara County Civil Court Records
Civil cases in Santa Clara County are primarily handled at the Downtown Superior Court and Old Courthouse. The public portal provides civil case and calendar information, but the court’s Civil Division states that copies of pleadings must be obtained through the courthouse where the case was filed.
If court staff must locate a document, provide the case number, case name, document title and filing date. Missing those details can trigger a records-search fee and can slow the request.
Santa Clara County Criminal Court Records
The court’s criminal-record instructions draw an important date line. For criminal cases filed in 2004 or later, use the online criminal case index. The court says the case number can be located using the defendant’s name and date of birth or the defendant’s name plus the month and year the case was filed.
For cases filed before 2004, the current Criminal FAQ says the public microfiche service is no longer available. Ask the clerk to perform a name search instead.

Once you have the criminal case number
Be specific about the document you want. The court gives examples such as a minute order from a particular date, docket, sentencing record or complaint. Include the full defendant name and other information requested by the clerk.
Family Court Records Have Different Remote-Access Rules
Santa Clara Family Court handles divorce, legal separation, nullity, parentage, custody, visitation and support matters. Some family case information can be found through the Case Information Portal, but California Rule of Court 2.503 restricts remote public access to the underlying electronic records in Family Code proceedings.
For authorized copies, the court’s Family Division directs users to the Family Records Copy Request process or an in-person request at the Family Justice Center.

Use sensitive identifiers only on the official Santa Clara court portal. Do not enter a driver’s-license number or date of birth into an unrelated public-record website simply because it appears in search results.

How to Get Santa Clara Court Documents and Certified Copies
Case Information Online is mainly a discovery and case-information tool. The court states that filed case documents are not generally available online. Public documents can instead be viewed at courthouse public-access terminals or requested from the appropriate Clerk’s Office.
Prepare these details before asking for a copy
- Complete case number.
- Full names of the parties.
- Exact document title.
- Filing date if known.
- Number of copies needed.
- Whether the recipient requires certification.
- Self-addressed stamped envelope for applicable mailed requests.
The court says mail-request checks should be payable to the Superior Court. If the exact charge is unknown, its current case-information instructions allow a check marked “Not to exceed” a specified amount.
New courthouse copying option effective January 1, 2026
California law now allows a person who is entitled to view an electronic court record in the courthouse to use a personal camera or cell-phone camera to photograph that record as a method of copying it. Santa Clara Superior Court states that this applies to permitted paper records and public-access terminal displays.
The rule does not authorize photography of confidential, sealed or restricted records, and it does not override restrictions on cameras in courtrooms or secure court areas.
Older Santa Clara Court Records May Require Clerk Research
The strongest local date distinction applies to criminal records. Cases filed in 2004 or later can be searched through the current criminal index; older criminal cases require a clerk name search under the court’s current instructions.
Older civil, family and probate files can also be unavailable as remote document images even when an index entry exists. California Courts advises that older records may be stored away from the courthouse and can take longer to retrieve.

Older criminal case
Pre-2004 criminal cases are not part of the current online criminal index. Ask the criminal clerk to perform a name search.
Case information vs. documents
The case can appear online while the filed pleading or order remains courthouse-only.

Appeal or federal case
A California appeal belongs in the appellate system, while a federal case belongs in PACER and the federal courts.

California Rule 2.503 Explains Why Some Records Are Courthouse-Only
California Rule of Court 2.503 requires public electronic records to be reasonably available in some form unless sealed or confidential, but it also distinguishes remote internet access from electronic access at the courthouse.
For records in family, juvenile, guardianship, conservatorship, mental-health, criminal and several protective-order proceedings, the rule generally allows courthouse electronic access while restricting public remote access to the underlying records. Calendars, indexes and registers of actions have separate electronic-access rules.
