Find Union County Court Records Through the Correct Court
Search Common Pleas cases, Marysville Municipal Court records, probate files and older courthouse records without confusing separate court systems.
Which Union County Court Holds the Record?
The right search depends on where the case was filed. Union County, Ohio, has separate records systems and custodians for Common Pleas, municipal, probate and juvenile matters. Starting in the wrong system is a common reason for an empty search.
| Record or case type | Responsible court or office | Best starting point |
|---|---|---|
| Felony criminal, civil litigation, domestic relations | Union County Common Pleas Court / Clerk of Courts | County public search |
| Misdemeanor, traffic, municipal civil, small claims | Marysville Municipal Court | Municipal CaseLook |
| Estates, guardianships, probate proceedings | Union County Probate Division | Probate records instructions |
| Juvenile delinquency, dependency and juvenile traffic | Union County Juvenile Division | Juvenile Division office |
| Certain appeals from Union County courts | Third District Court of Appeals / appropriate clerk | Identify the appeal and contact the responsible clerk |
| Federal civil, criminal or bankruptcy case | Relevant federal court, not county court | PACER |
General beginning date of the Clerk’s online case index: January 1, 1990. Some older domestic cases with later post-decree filings may appear.
The Clerk identifies January 1, 2002 as the general beginning date for imaged documents. Older case indexes may not include electronic document images.
June 1, 2019 is an important filing-date dividing line for accessing recent versus historical Union County probate records.
Official Common Pleas search coverage
The Union County Clerk’s public search identifies the following categories:
- Domestic relations cases
- Civil cases
- Certificates of judgment
- Court of Appeals cases included in the Clerk’s records
- Felony criminal cases
Online availability does not guarantee that every document can be viewed remotely. Certain documents containing sensitive material are available only through access at the Clerk’s office.
How to Search Union County Court Records: Seven Steps
Use this sequence when looking for a case by name, case number or record type. It works as a starting checklist; individual courts may have different search fields and access limits.
- Identify the type of case. Decide whether the matter involves a felony, misdemeanor, traffic citation, civil case, domestic relations case, estate, guardianship, juvenile matter or appeal.
- Choose the court that handled it. Use the Common Pleas Clerk for its docket categories, Marysville Municipal Court for municipal cases, and the Probate or Juvenile Division for records within their respective jurisdiction.
- Open the court’s official search service. Follow the county public records page or municipal CaseLook site. Read the search notice before proceeding.
- Enter the best available identifier. Use an accurate case number where possible. Otherwise, try the party name in the format the system accepts and narrow by case type if available.
- Compare matching case information. Review the court, case number, filing date, case category and party details. A matching name alone does not establish identity.
- Review the docket and available documents. Check what the record actually shows. A docket entry is not necessarily the complete filing, certified judgment or most current disposition.
- Contact the correct clerk when needed. Ask about missing older records, certified documents, restricted access or information that requires confirmation from the official court file.
What to prepare before searching
- Full party or business name, including known spelling variations
- Case number or citation number, if available
- Approximate filing year or hearing date
- Whether the case was civil, criminal, traffic, domestic, probate or juvenile
- The specific document needed: docket, complaint, order, judgment, decree or certified copy
For a copy request, provide the case number, court name and exact document description whenever possible. The clerk may need additional information to locate the file.
Union County Court Records Search by Name or Case Number
Common Pleas name searches
Use the county’s public records entry page for Common Pleas cases. The service’s index includes several case categories, but its coverage begins in 1990 for most indexed cases. If you are researching an older dispute, ask the Clerk whether the record is maintained in an archive or other format.
A case filed before 2002 may have a searchable index without corresponding remotely available scanned documents. That is a difference between finding a case and accessing its paperwork.
Marysville Municipal Court CaseLook search
Marysville Municipal Court uses its own case search interface. Its published search form includes name/company, case number, ticket number and date-related fields. Case-type selections include traffic, criminal, civil and small claims.
The court instructs users to enter only one search criterion at a time. Its name format is last name followed by a space and the first name or middle name. The case-number field instructs users to enter numbers without letters.
The search interface also has a CAPTCHA and settings for the number of matches displayed per page. A separate calendar search supports date-based docket searches.
The court warns that there may be a delay of 24 hours or longer between a filing or court action and the public system displaying it. Contact the court for verified information rather than assuming the online screen is final.
If a criminal case is not in the system you tried
Check the court level before retrying. A felony case may be found through Common Pleas, while a misdemeanor or traffic case may belong in Marysville Municipal Court. A sheriff arrest or incident record is a different document held by a different office.
Do not assume a police report, jail record, criminal charge and final court disposition are interchangeable. For the outcome of a criminal prosecution, identify the court where the case was filed and check its actual disposition.
Understanding a case result
| Information | What it usually tells you | What to verify |
|---|---|---|
| Case number | Identifier assigned to a proceeding | Court and complete case number |
| Case type | General category of proceeding | Whether it is the correct court and matter |
| Filing date | When the action was filed | Whether later proceedings changed its status |
| Docket entry | Recorded filing, hearing or action | Underlying document and any subsequent order |
| Disposition | Recorded result or action | Finality, amendments, appeals or subsequent orders |
Union County Probate, Marriage and Historical Court Records
Union County Probate Division uses different access arrangements for recent and historical filings. This distinction is particularly important when researching estates, guardianships or older family records.
Filed June 1, 2019 or later
Probate records filed on or after June 1, 2019 may be searched through the Common Pleas Clerk’s public records system or accessed with Deputy Clerk assistance at the Probate Division office.
Filed 1820 through May 30, 2019
Older probate records may be accessed with assistance at the Probate Clerk’s Office, the Union County Records Center & Archives or a public terminal at the Recorder’s Office.
Where historical records are kept
The county identifies the Records Center & Archives at 128 South Main Street in Marysville and a public terminal at the Recorder’s Office at 233 West Sixth Street. Before traveling, call the Probate Clerk at 937-645-3029, extension 3405, to confirm where a particular record can be viewed.
Marriage and other historical record collections
The Probate Division also identifies historical collections that are useful for genealogy and documentary research.
| Record | Coverage or storage | Officially listed charge |
|---|---|---|
| Marriage records | 1820 to present; licenses before May 28, 1996 stored physically, later licenses stored digitally | $2 certified copy; $0.10 photocopy |
| Historical birth and death records | 1867–1909 | $3 per record |
| Delayed birth registration and corrections | 1941 to present, with storage varying by date | Confirm the relevant request fee with the office |
These historical charges are service-specific and should not be applied to every court document request. For birth and death records after 1909, the Probate Division directs visitors to the Union County Health Department.
Confidential probate and juvenile records
Not every courthouse record is open for public browsing. The Probate Division identifies adoptions, minor settlements covered by its confidentiality rules, mental illness or intellectual disability matters, and cases sealed by court order as restricted.
Juvenile records also have their own confidentiality and access rules. Do not attempt to obtain records through an ordinary public criminal-case search when the Juvenile Division is the responsible court. Contact the division about the lawful request process and whether access is permitted.
Request Court Documents, Certified Copies and Case Files
Finding a case in an online index does not guarantee that the complete filing is downloadable or that an electronic printout will be accepted as official proof.
Difference between a docket and a certified record
Search listing
Helps identify the court, case number and available summary information.
Proceeding history
Tracks recorded filings, hearings, orders and other actions. It may not include every document’s full text.
Clerk-authenticated record
A copy formally certified by the appropriate records custodian for an official purpose.
How to request a certified Common Pleas copy
The Union County Clerk of Courts directs certified-copy inquiries to ClerkofCourtsLegal@unioncountyohio.gov. Include the court name, case number, the exact document requested and a return contact method.
Ask for the current certification fee, accepted payment methods, available delivery options and expected processing arrangements. Do not assume that a copy fee for historical marriage records is also the certification charge for a Common Pleas judgment.
Practical copy-request checklist
- Identify the responsible division and case number.
- Specify whether you need a plain, certified or other authenticated copy.
- Name the exact judgment, order, decree, complaint or filing.
- Ask whether the record is available electronically or only at the office.
- Confirm the total cost and payment instructions before sending money.
- Ask how the completed copy can be collected or delivered.
Older and sensitive documents
Documents predating the online imaging period may require clerk or archive assistance. The Common Pleas search disclaimer also identifies certain sensitive documents that are viewable only at the Clerk’s office during regular business hours.
If you need a record for a court proceeding, legal deadline or other formal use, verify the necessary document format directly with the receiving institution and records custodian.

No Union County Court Record Found? What to Check
An empty search can mean the wrong court, a different filing period, restricted access, a name variation, an indexing limitation or a recent action that has not yet appeared online. It does not necessarily mean the case never existed.
| Problem | Possible explanation | Practical next action |
|---|---|---|
| Felony case not in Municipal Court | It may be a Common Pleas case | Check the county Clerk’s felony criminal index |
| Misdemeanor or traffic case missing | You may be searching Common Pleas instead of Municipal Court | Use Marysville Municipal CaseLook and confirm jurisdiction |
| Pre-1990 Common Pleas case absent | The record may predate general online indexing coverage | Ask the Clerk about older files and archival search options |
| Case indexed but document missing | The document may predate imaging or be restricted remotely | Request assistance from the court’s records custodian |
| Older probate estate missing | It may be in the historical probate system or physical archives | Contact the Probate Clerk before visiting the archives |
| Recent municipal action not displayed | System updates may lag by 24 hours or more | Confirm time-sensitive details with Municipal Court staff |
| Juvenile or sealed case missing | Confidentiality restrictions may prevent public access | Ask the responsible division about lawful access; do not attempt to bypass restrictions |
Search result does not match the person
Do not assume that two people with the same name are the same individual. Compare reliable identifying details only where lawfully available. A filed criminal charge is not a conviction, and a civil complaint does not establish that the allegations were proven.
Need current hearing or case status?
For a hearing that is imminent, or a filing with a deadline, contact the court directly. Public search screens may be delayed, incomplete or later corrected. The court’s official instructions and current orders control.
eFiling is different from searching
Union County also operates an electronic filing service. The county identifies attorney eFiling requirements and technical-maintenance notices separately from public record access. Public users should not assume an attorney eFiling login is required simply to search all public records.
Records That Do Not Belong in the County Court Search
Some requests described as “court records” actually belong to another county office or an entirely different judicial system.
Sheriff arrest and incident records
Law enforcement reports and local background-check services are not the same as court case dockets. The Union County Sheriff’s Office provides separate information on its own records and background-check processes.
Land and deed records
Property deeds and recorded land instruments belong to the Recorder’s Office. A certificate of judgment in a court index is not a substitute for a complete property-record search.
Historical vital records
Probate holds certain historical marriage, birth and death collections. More recent birth and death certificates follow Health Department procedures rather than ordinary case search.
Federal court proceedings
Federal civil, criminal and bankruptcy proceedings do not automatically appear in Union County’s local court searches. Identify the relevant federal court and consult PACER when appropriate.
Frequently Asked Questions About Union County Court Records
Can I search Union County Ohio court records online for free?
The county and Marysville Municipal Court provide public search entry points. Search access should not be confused with obtaining copies or certified documents, which may involve fees. Review the applicable official portal and contact the clerk about charges for your specific request.
How far back do Union County Common Pleas online records go?
The Clerk’s public case index generally begins January 1, 1990. Imaged documents generally begin January 1, 2002. Some older domestic cases may appear when post-decree actions were filed later. For older records, contact the Clerk.
Where can I search Marysville Municipal Court cases?
Use the official Marysville Municipal Court CaseLook website. Its search options include party or company name, case number, ticket number and selected date fields, with case-type filters.
Can I find Union County felony and misdemeanor cases in the same portal?
Not necessarily. The Clerk’s Common Pleas index includes felony criminal matters, while Marysville Municipal Court operates a separate system for municipal criminal and traffic proceedings. Start with the court that handled the case.
How do I search older Union County probate records?
For probate records filed from 1820 through May 30, 2019, contact the Probate Clerk or use the historical records access arrangements through the Records Center & Archives and designated public terminals. Call 937-645-3029, extension 3405, before visiting.
Are Union County juvenile court records public?
Many juvenile records are confidential or subject to specific restrictions. Availability depends on the type of case and applicable law or court orders. Contact the Union County Juvenile Division for the authorized process.
How can I get a certified Union County court judgment?
Identify the issuing court and exact judgment. For records maintained by the Common Pleas Clerk, the county directs certified-copy inquiries to ClerkofCourtsLegal@unioncountyohio.gov. Confirm the fee, required details and delivery arrangements with the office.
Does a missing online record mean the case was dismissed or never filed?
No. Missing results can reflect a different court, an older record, delayed online posting, restricted access or an indexing limitation. Contact the correct clerk before drawing a conclusion about the case.
