The fastest Ellis County court-record search begins with the record-holding clerk. The District Clerk records proceedings of the district courts. The County Clerk serves as clerk for county-level courts and maintains misdemeanor, civil, probate, guardianship, mental-health and related county records.

Both offices use online records technology, but finding a name in an index is only the first step. Save the complete cause number, confirm the court and case type, review the latest docket activity, and obtain the actual order or judgment when the precise outcome matters.

Which Ellis County Court Holds the Record?

The same person can have records in more than one Ellis County court. A felony prosecution, divorce, misdemeanor, eviction and city traffic citation can all use different clerks even when every event happened inside the county.

District Clerk

Felony, divorce or district-court case

Use the District Clerk for records filed in Ellis County’s district courts. The County Clerk specifically directs users seeking divorces and felonies to the District Clerk.

County Clerk

Misdemeanor, probate or county-level civil case

The County Clerk serves the County Courts at Law and maintains misdemeanor, civil, probate, guardianship and mental-health records.

Justice / Municipal

Small claim, eviction or city citation

Justice Courts and city municipal courts maintain their own matters. Do not assume these cases will be found by searching only the District or County Clerk.

Cause number beats a broad name search. Once you locate a possible case, copy the complete cause number and court. Those two details are the safest way to return to the same file, order a copy or ask a clerk about a missing document.

How to Search Ellis County Court Records

This seven-step process reduces wrong-court searches and makes the final document request easier.

Identify the case type first

Determine whether the matter involves a felony, divorce, larger civil dispute, misdemeanor, probate estate, guardianship, Justice Court case, eviction or municipal citation.

Choose the record-holding clerk

Use the District Clerk for district-court records. Use the County Clerk for County Courts at Law and applicable probate, misdemeanor and county civil records. Use the individual Justice or municipal court when that court owns the case.

Open the official Ellis County search

Use the county’s Online Records Search and select the relevant office and record category. A guest search is enough when you only need index information.

Use the cause number when available

Enter the complete cause number from the citation, pleading, court notice or other official document. Preserve letters, leading zeros and suffixes.

Search names carefully

If you only know a party name, begin with the reliable last and first name. Retry reasonable spelling, middle-name or former-surname variations before adding uncertain filters.

Verify the matching case

Check the court, cause number, case type, filing date, parties and later docket events. A matching name should be treated as a possible record, not identity proof.

Get the actual filing when necessary

Use the docket to identify the exact petition, indictment, judgment, decree, sentencing document or order. Purchase an eligible image or request the appropriate copy from the clerk.

Ellis County District Court Records

The District Clerk records the acts and proceedings of the district courts, enters judgments, maintains party indexes, records executions and performs other statutory recordkeeping functions.

Ellis County’s current district-court structure includes the 40th, 378th, 443rd and 504th Judicial District Courts. The 504th Judicial District became effective December 1, 2025, which means older lists showing only three district courts are no longer complete.

40th District

District civil and criminal jurisdiction

The court’s published jurisdiction includes felony criminal matters, civil controversies involving more than $100,000 or title to land, and other district matters.

40th District Court ↗

378th District

District-court case assignment

Use the case record and current local rules to determine the assigned court rather than assuming the division from a case type alone.

443rd & 504th

Current Ellis district structure

The county now lists both the 443rd and 504th District Courts. Current administrative rules and the case record control how individual district cases are assigned.

Do not rely on an old court list. Texas created the 504th Judicial District for Ellis County effective December 1, 2025. If a recent case shows the 504th, that is a valid current Ellis County district court.

Justice of the Peace Records Are a Separate Search Problem

Ellis County has four Justice of the Peace precincts. Justice Courts have original jurisdiction over fine-only misdemeanors and handle civil matters including small claims, debt claims, evictions and repair-and-remedy disputes within their jurisdiction.

The county states that Justice Court civil jurisdiction can cover disputes up to $20,000, including attorney fees but excluding court costs and interest. Venue and precinct therefore matter when locating a Justice Court record.

Precinct 1

Use the Precinct 1 court when the case was filed within that Justice Court’s territorial jurisdiction.

Justice Court Precinct 1
Precinct 2

Check the case paperwork or county precinct information before contacting the court.

Justice Court Precinct 2
Precinct 3

Justice Court records are maintained separately from District Clerk and County Clerk district/county databases.

Justice Court Precinct 3
Precinct 4

Use the individual Justice Court for its own civil, eviction, traffic or fine-only criminal matters.

Justice Court Precinct 4

Municipal court is another layer. Waxahachie, Ennis, Midlothian, Red Oak, Ferris, Palmer and other Ellis County cities can maintain municipal-court cases separately. A city citation may therefore never appear as an ordinary County Clerk or District Clerk case.

Index, Docket, Document Image and Certified Copy Are Different

Finding a case number does not necessarily mean you have obtained the complete court record. Ellis County’s search system can expose different levels of information depending on the record and your access.

Record layer What it provides Common mistake
Index result Party, cause number, record type or other identifying data. Treating a same-name index hit as proof of identity.
Case details / docket A chronology of filings, hearings, orders or other case events. Assuming the short event description is the full filing.
Image A view of an eligible public document associated with the record. Assuming every case document is remotely available.
Purchased image An electronic copy available through the online system. Assuming the purchased image is automatically certified.
Certified copy Clerk authentication for official uses that require certification. Using an ordinary printout where a certified record is required.

For plain-English explanations of terms such as docket, disposition, indictment, judgment, expunction and certified copy, use the Court Records Glossary or Court Record Types Explained.

Ellis County Court Record Copies and Online Image Costs

Copy costs depend on the clerk and the format requested. Do not assume that the amount shown for an online image is the same as the fee for a clerk-certified paper copy.

District Clerk posted copy schedule

The District Clerk’s currently posted fee schedule is dated January 1, 2022. It lists uncertified copies at $1 per page, certified copies at $1 per page, and electronic copies at $1 flat for pages 1–10 and $0.10 per page after page 10. Because that posted schedule carries a 2022 effective date, verify the current charge with the District Clerk before ordering.

County Clerk court-copy pricing

The County Clerk’s civil fee material lists ordinary paper copies at $1 per page and certified copies as the page charge plus a $5 certification fee. Exact pricing can depend on the record division and service requested, so use the current Clerk fee page or ask the responsible division before sending payment.

Online record images

The online search displays eligible image-purchase options inside the system. Ellis County’s current instructions state that a registered user may purchase five images before a subscription is required and that each checkout includes a $0.30 transaction fee.

Save money by identifying the exact filing first. Use the docket or More Information screen to record the document title and date before requesting a certified copy. “Order,” “Final Order,” “Judgment” and “Amended Judgment” can refer to materially different filings.

When to Use re:SearchTX Instead of Only Ellis County’s Portal

re:SearchTX is Texas’ statewide electronic court-record platform. It can be useful when you need an electronically filed document or want to search Texas cases through a broader statewide system.

Texas OCA explains that public access is role-based and limited to records that may lawfully be released. A document can therefore exist in the local clerk’s official file without being publicly downloadable through re:SearchTX.

re:SearchTX feature Practical meaning
Account Users sign in using an eFileTexas-compatible account or register for access.
Search Cases, filings, documents and hearings can be searched and filtered.
Public document access Only documents permitted by applicable security and access rules are available to the public.

If No Ellis County Case Appears Online

No search result does not prove that no record exists. Work through the likely clerk, jurisdiction and access issues before drawing a conclusion.

Wrong clerk

A felony or divorce belongs with the District Clerk, while a misdemeanor, probate or County Court at Law matter may belong with the County Clerk.

Justice or municipal case

A small claim, eviction, fine-only offense or city citation may be held by the Justice Court or municipal court rather than the countywide clerk search you tried.

Name variation

Retry without an uncertain middle name, use a former surname or search the exact cause number when available.

Image unavailable

An index can exist even when the public image is not available for purchase or preview. Contact the record-holding clerk for copy options.

Restricted record

Sealed, expunged, confidential, juvenile or other protected material can have limited or no public remote access.

Different county or court level

A case filed elsewhere, appealed to the Tenth Court of Appeals or filed in federal court requires a different search system.

For the statewide routing process, use our Texas Court Records Search by Name guide.

Federal matters are not Ellis County Clerk records. The Northern District of Texas identifies Ellis County as part of its Dallas Division. Use PACER for federal district, bankruptcy and appellate records.

An appeal creates a second record trail. The Ellis trial-court file remains with the local clerk, while the appellate court maintains the appellate docket, briefs, orders and opinions. Search both when you need the complete procedural history.

Verify the Final Outcome Before Using a Court Record

A search result can show a filing or accusation without showing how the case ultimately ended. Read the newest docket events and final order, judgment, dismissal, sentence or other disposition before describing the result.

  • A felony charge is not the same as a conviction.
  • A civil petition is not a finding that the defendant was liable.
  • An arrest does not prove that a court case was filed.
  • A same-name match does not establish identity.
  • A docket entry is not always the underlying filed document.
  • A purchased image is not automatically a certified copy.
  • No online result does not prove that no record exists.
